To continue to meet the requirements of modern rail management, a thorough modernization of the planning and control systems was necessary. Through a careful tender process, ProRail chose Finext and the CCH Tagetik software. This software solution enables efficient, accurate forecasts and helps ProRail respond to changing circumstances. The challenges at ProRail: Need to modernize planning and control

Prior to working with Finext, ProRail faced the challenge of modernizing outdated planning and control systems. The existing ERP system was adequate for transactional processes but lacked suitable tools for forecasting and strategic planning. Much planning and control work was done in Excel, which made structure and process control difficult. Koen Corstjens, Transformation Lead at ProRail, explains, "Working in Excel made it difficult to set up structured processes for forecasting. Over the past four years we have worked with Finext to improve these processes."

CCH Tagetik and Finext: The ideal solution for ProRail

The choice of CCH Tagetik brought the solution sought. The system not only supports advanced planning and automation, but also facilitates data integration from various source systems. This provides ProRail with an efficient way to make accurate forecasts, which is crucial for effective planning and control. Koen: "Finext has helped us simplify and standardize processes. We developed various templates for project forecasts and set up a robust data integration. This allows us to perform daily updates and use master data from our ERP landscape in forecasting, planning and budgeting processes."

Successful implementation and change management at ProRail

The implementation of the new CCH Tagetik system followed a detailed roadmap, with a strong focus on change management. The project was executed Agile, with continuous feedback and adjustments. Koen explains: "The transition to an advanced system was a big change for many colleagues. It was essential to involve the organization closely in the process." Finexter Mark Bik adds: "We supported ProRail by organizing regular meetings where users and other stakeholders could ask their questions and provide feedback. This ensured support and a smooth transition."

Results: Efficiency and accurate forecasting for ProRail

Thanks to the collaboration with Finext, ProRail took a significant step forward in planning and control. The introduction of standardized templates and automated data integration resulted in more efficient and consistent forecasts and reports. Koen: "All project and apparatus cost forecasts are now done via standard templates. This increases consistency and efficiency. By using drivers and automated data integration, we can manage our projects better and our forecasts are more accurate."

Collaboration between ProRail and Finext

Koen appreciates the collaboration with Finext, characterized by flexibility and expertise. "Finext has adapted well to the working methods within ProRail and offers continuity through permanent faces in the project team. This makes the collaboration stable and effective." Although the current project is nearing completion, plans are ready for further optimization, in which Finext will again play a role. Mark looks forward to it: "We are very satisfied with the cooperation with ProRail and look forward to further collaboration!"
